Greetings Ashley Academy Parents and Guardians: Parent Letter (Spanish Version)

I would like to take this opportunity to welcome you to the 2015-2016 school year. Thank you for having your children prepared for the first day of school. The opening day went very well with very few problems thanks to your efforts. It is important that we share with you some important information that will be helpful to you as well as prevent any problems or misunderstanding as we move through the school year.


Students will not be allowed to enter the school building until 7:45 a.m. If you drop off your child before 7:45 a.m. they will remain outside the building and the school will accept no responsibility for the supervision of any student until they enter the school building at the stated time above. All students, parents and visitors must enter the building through the outside cafeteria door prior to 8:30 a.m. Students that eat breakfast will go through the serving line and get their meal and go directly to their classrooms. Student’s not eating breakfast will be allowed to go directly to their classrooms at 7:50 a.m. Just a reminder that breakfast is free for all Ashley Academy students.

We ask that parents DO NOT PARK IN THE BUS LANE (the right lane) in the morning between 6:45 a.m. and 8:45 a.m. Please park in one of the parking lots that are available to you. Do not park on the side of the gym as this area is reserved for staff parking only. Parents dropping students off in the morning will travel in the left lane and stop in front of the school building where staff members will assist with getting students out of your vehicle and across the road safely.

If you plan to walk your child to his or her classroom, you must stop at the check in table in the hallway outside the cafeteria door, sign-in and retrieve a visitor’s badge which must be worn at all times in the building. The safety and protection of our students, staff and visitors is our priority.

Ashley Academy’s instructional day will begin at 8:20 a.m. It is crucial that your child arrive to school on time each day to get the maximum instructional time. Any Student arriving after 8:30 a.m. will not be allowed to get breakfast unless the late arrival is due to a late bus. Students arriving after 8:30 a.m. must report to the main office to get a tardy slip prior to reporting to their classroom.


The instructional day at Ashley Academy ends at 2:50 P.M. DO NOT PARK IN THE BUS LANE from 2:20 P.M. to 3:50 P.M. Please do not park in any area that has a NO PARKING SIGN and DO NOT PARK ON THE SIDEWALK. Parking in these areas during the times listed can result in a ticket and fine by the Winston Salem Police Department. Ashley School Circle is a One Way Street and we have only two travel lanes, the right lane for buses and the left lane for vehicles.

If your child is a car rider we ask that you wait in the designated car rider line and the school staff will call for your child and they will be escorted to your vehicle. We encourage you to wait for your child in the car rider line. If you need to get your child prior to them being called by the school staff, you must report to the main office.

We are implementing a new procedure for parents picking their students up prior to the designated dismissal time. Parents must go directly to the main entrance and gain entry into the main building by ringing the buzzer on the outside of the door. The office staff will allow you entry into the main lobby. The Main Office Door will be locked at all times and only two (2) parents will be allowed inside the main office at one time to conduct business. This will allow the office staff to effectively perform their duties without disruptions and distractions. If you are picking up a student you will be required to present identification to ensure you are authorized to pick up the student in our management system.

If you are requesting to pick up a student from the car rider room you will receive a document from the office staff that authorizes the child to be released to you. You will take that document with you over to the 300 building (Gym) and give it to the staff member at the door. The staff member will radio to the car rider room for your child and the child will be escorted to the door and released to you. NO PARENT OR VISITOR WILL BE ALLOWED INSIDE THE BUILDING FOR ANY REASON. These changes have been made to increase the level of safety and protection for all students and staff.

If your child is a walker, they will report to the cafeteria and will be released to walk from that location. If a parent is picking their student up and walking them home you must come to the cafeteria and sign the student out. If you drive and park and come to the cafeteria to pick-up a walker you must report to the main office to sign the student out as a car rider. If this happens then your child will be moved from being a walker to a car rider the next day and they will become a car rider. Car riders will be dismissed from the car rider room and parents will have to get into the car rider line and have their child escorted to their vehicle or follow the procedure above for picking up car riders.

If you want your child to ride a different bus home with a friend or if you need your child to get off at a different bus stop, we will need written notification from the parent or guardian and this notification must be given to the classroom teacher. Please include a phone number on this written notification so that the school can verify the requested change with you. If your child is a car rider, we will need written notification from a parent or guardian that will tell us that another individual will be picking up your child from school. For the Safety of our children we will not accept changes in transportation after 2:00 P.M. This information can be found on page 5 of the Student Handbook.


 We encourage parents and guardians to visit our school but you must remember that you cannot just drop in and expect our teachers and staff to take time to communicate or conference with you during the instructional day. Their first priority is to ensure that all children are receiving quality and effective instruction with minimum disruptions. If you drop your child off early in the morning please remember that teachers and staff are preparing for the school day and cannot take time away from their preparation for students to talk with you. If there is a need to speak with your child’s teacher, we ask that you schedule a conference in advance at a time that is convenient for both the parent and teacher. We ask that you limit your visit to any classroom to a maximum time of 30 minutes if you want to observe your child. All day visits will not be allowed. We encourage you to sign up to be a classroom volunteer. If you would like to volunteer you will have to complete the WS/FCS Volunteer approval

 Teaching and learning is our priority and as much as we want to celebrate special occasions with our children, we cannot sacrifice the valuable time we have in the school day to do this. Therefore, we will limit classroom parties and birthday celebrations to one time each month. These parties will take place on the last Friday of each month. All students that have a birthday during the month will be recognized on the last Friday of that month. Parents are encouraged to bring their refreshments that will be share by all students in that classroom. We appreciate your understanding and cooperation.




 Ashley Academy will send an Information Packet home each Thursday throughout the school year. This packet will contain information that we need to share with parents and guardians and documents for your review. We will also send out communication through our Alert Now System. Please make sure we have your correct phone information so that you will be able to receive these messages. You can also locate information on what is happening in our school and upcoming important dates and events on our school webpage.

It is crucial that we have accurate contact information that will allow us to communicate with you if needed. If your child gets sick or we have a medical emergency that requires your child to be transported to a local medical facility, we must have the ability to contact you. If your contact information has changed, please contact the school or send the updated information to school with your child.
